Our client

Adexen Recruitment Agency is mandated by a multinational chemical company to recruit a Personal Assistant / Office Administrator for its operations in Nigeria.

Job description

  • The PA/Office Administrator is to provide secretarial and office support to the Managing Director. He/She is responsible for smooth and efficient running of the office, organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.
  • He/she is to report to the Managing Director.
  • The position is based in Lagos, Nigeria.

Responsibilities

The responsibilities for this office shall include but is not limited to the following:
  • Compiling of all required correspondence, presentations and communication on behalf of the Managing Director
  • Coordinate Managing Director’s diary, screening of all his incoming calls and monitoring of incoming emails
  • Trafficking of all in and outgoing paper work in the Managing Director’s office and maintaining of a filing system
  • Proactively using initiative to progress situations and seek information, particularly in the absence of Managing Director
  • Establishment and maintenance of easily accessible customer data base
  • In collaboration with Business Unit’s and Business Centre, organise local exhibitions, seminars, field days and conferences
  • Coordinating all meetings of the Board, Shareholders and any other ad hoc meetings, and compiling various meeting packs, agendas and minutes of these meetings
  • Facilitation of all meeting arrangements (e.g catering, communications) to ensure smooth running of meetings
  • Efficient and proactive organising international and domestic travel arrangements for the Managing Director, as well as for his and the company’s visitors, in accordance with Company guidelines
  • Efficient organising  of all travel arrangements for all company employees, in accordance with Company guidelines
  • Procurement of all company supplies, according to company guidelines
  • Ensuring all statutory and regulatory filings and submissions are made within required deadlines, in coordination with Business Centre
  • Accurate and efficient inventory management and control

Qualifications and experience

  • University degree in management, administration and secretarial studies
  • 4-6 years in PA capacity for a senior manager or in office administration
  • Computer literate – SAP/, Microsoft Office Suits
  • Strong communication and people skills
  • Well organized, meticulous and able to plan and prioritize activities
  • Perform well under pressure
  • Able to work as an integral member of a team as well as individually
  • Fluency in German and/or French would be advantageous
  • Post graduate qualification is an added advantage
